A PO is the number that a driver gives the terminal to pick up sand and that number will let the terminal know which type of sand they are loading the driver with. A PO Allocation is the amount of sand a customer is allowed to have their drivers pick up that day.

Adding PO Allocations to a new PO

Step 1

After logging into PropDispatch, on the left hand side there will be a row of icons. Select the icon that is called PO Tracker (the icons looks like a clipboard).


Once in the PO Tracker page, you'll click the green "+ Add PO" button at the top of the page. 


Step 2

A Add PO pop-up will appear to enter in the information about the PO needed for the job. The following information needed is: 

  • PO Number (Mandatory): PO number associated with the job
  • Product (Mandatory): Sand type 
  • Terminal (Mandatory): The site where drivers pick up the sand
  • Quantity (Mandatory): Amount of sand needed for the job
  • Unit (Mandatory): Type of unit to measure what the PO is being weighed in
  • Reference (Optional): This where you can enter something to help differentiate between POs if there's more than one in the job




Step 3

Once the PO is created you will click on it and it will open the details page with the information you just entered. Click on the tab at the top called "Allocations".


Step 4

The PO Allocation Schedule table will appear. To add a new PO allocation you'll click the "+Add Allocation". 


Then a pop-up will appear where you'll enter in the following information

  • From: You will select the date and time you want the allocation to begin
  • To: You will select the date and time you want the allocation to end
  • Amount (Tons): This is where you'll enter the amount of sand the customer can pick up that day in Tons
  • PO Amount Left: This is the amount of the PO in tons minus the sum of all allocations created 

FYI: The times selected will be in the terminal's time zone.


Step 5

You can select Repeats if you want the same PO allocation schedule to be made for multiple days. The PO allocation can be set to repeat daily or weekly until a selected time is chosen for it to end.


Step 6

Once "Save" is selected then the allocations will populate in the PO Allocation schedule table.


IMPORTANT: When a PO allocation has expired, it will show inactive


After the allocations are saved, if a warning message appears stating that the allocations were partially successful then you need to double check the allocations created as there may be some time overlap.


Editing an existing PO Allocation


Step 1

After logging into PropDispatch, on the left hand side there will be a row of icons. Select the icon that is called PO Tracker (the icons looks like a clipboard).


Step 2

Select your PO and click the allocation tab at the top of the page.  

In the PO Allocation Schedule table find the allocation that you need to edit and click the three dots in the Action column. This will show the "Edit" button. 


Step 3

The PO allocation update form will appear and once all the information has been edited click "Save" and the allocation for that day has been updated.


FYI: You can also inactive/active an allocation that was made or remove it entirely from the purchase order.
